4. Our Lawful Bases

Under UK data protection law, we need a lawful basis for processing personal information.

Depending on the activity, we may rely on:

Contract

Where processing is necessary to provide a service you requested, operate your account, process a purchase or provide a vehicle report.

Legitimate Interests

Where reasonably necessary for purposes such as securing our systems, preventing fraud, maintaining records, improving our services and understanding how our service is used, provided those interests are not overridden by your rights.

Legal Obligation

Where information must be retained or processed to comply with tax, accounting, regulatory or other legal requirements.

Consent

Where consent is the appropriate lawful basis, for example for certain optional communications or technologies. Where we rely on consent, you may withdraw it at any time.

5. Vehicle Data and Third-Party Sources

AI Reg Check combines information from a number of sources.

Depending on the service used, vehicle information may originate from government, industry, commercial and other vehicle-data sources.

This may include information relating to:

  • vehicle specification;
  • MOT history;
  • mileage;
  • taxation status;
  • valuations;
  • keeper/history indicators;
  • finance;
  • insurance write-off records;
  • stolen vehicle markers;
  • scrappage;
  • imports and exports;
  • registration plate changes; and
  • other vehicle provenance information.

We may receive this information through specialist vehicle-data providers rather than directly from the original source.

Third-party datasets can occasionally contain errors, delays or omissions. Where appropriate, important information should be independently verified before relying upon it when purchasing or selling a vehicle.

6. AI Analysis

AI Reg Check uses automated analysis and artificial intelligence to help interpret vehicle information.

Our systems may analyse factors including:

  • MOT history and advisories;
  • mileage patterns;
  • valuation data;
  • age and specification;
  • user-entered mileage and purchase price;
  • vehicle history markers;
  • provenance information; and
  • other information available for the vehicle.

This information may be used to generate outputs including the AI Buy Score™, written vehicle assessment and "Would I Buy It?" assessment where eligible. The AI Buy Score™ and "Would I Buy It?" require both current mileage and asking price.

These outputs are intended to support a vehicle-buying decision. They are not a physical inspection, mechanical diagnosis, warranty or guarantee.

AI Reg Check does not use the AI Buy Score™ to make legal or similarly significant decisions about individuals.

7. Authentication and Linked Accounts

AI Reg Check may support sign-in using email and third-party identity providers such as Google and Apple.

If you choose a third-party sign-in provider, we may receive an identifier and basic account information necessary to authenticate and link you to your AI Reg Check account.

The third-party provider separately processes information under its own privacy policy.

Where supported, multiple authentication methods may be linked to the same AI Reg Check account so that your checks, Garage, credits and purchases remain associated with one account.

8. Payments

Payments may be processed through payment processors, app stores and digital wallet providers.

These providers may process payment and device information independently in accordance with their own terms and privacy notices.

AI Reg Check receives the information necessary to confirm the transaction, credit your account, provide the purchased service, issue receipts and invoices and deal with refunds or payment disputes.

9. Emails, Reminders and Service Communications

We may send service communications necessary to operate your account, including:

  • account verification;
  • security notifications;
  • purchase confirmations;
  • receipts and invoices;
  • Full Vehicle History certificates;
  • important service messages; and
  • responses to support enquiries.

If you enable vehicle reminders, we may also send notifications concerning MOT and tax dates according to the reminder preferences saved to your account, for example 30 days, 14 days, 7 days or 1 day before the relevant date.

You can change optional reminder preferences through your account settings.

Marketing communications, where used, will be handled in accordance with applicable law and the preferences available to you.

10. Cookies and Similar Technologies

We may use cookies and similar technologies where necessary to:

  • keep you signed in;
  • maintain sessions;
  • remember preferences;
  • protect accounts and payments;
  • prevent fraud; and
  • understand and improve website performance.

Where consent is legally required for non-essential cookies or similar technologies, we will request it before using them.

Some technology providers we use may process information outside the United Kingdom.

Where personal information is transferred internationally, we take appropriate steps required by UK data protection law, which may include relying on adequacy regulations or approved contractual safeguards.

13. How Long We Keep Information

We retain information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, fraud-prevention and dispute-resolution requirements.

Different information may therefore have different retention periods.

For example:

Where information is no longer required, we will delete or anonymise it where reasonably practicable.

14. Security

We use technical and organisational measures designed to protect personal information against unauthorised access, loss, alteration and disclosure.

These measures may include encrypted connections, access controls, authentication systems, restricted administrative access, monitoring and secure third-party infrastructure.

No internet-based system can be guaranteed to be completely secure, but we continually work to protect the information entrusted to us.

15. Your Rights

Depending on the circumstances, UK data protection law may give you rights to:

  • request access to your personal information;

If you have a concern about how we use your personal information, please contact us first so that we can try to resolve it.

You also have the right to complain to the UK Information Commissioner's Office (ICO).

We do not knowingly seek to collect personal information from children through the service.
